Zalara Tech Ltd ("Zalara Tech", "we", "us") provides AI, automation and cybersecurity services. We are the controller for personal data collected via our website and during sales and delivery of our services.

We comply with the UK GDPR and Data Protection Act 2018. Separate Data Processing Agreements apply where we act as a processor for client data.

What data we collect

Data you provide

Contact details (name, work email, phone, company, role) via contact, newsletter/lead magnet, download, and job application forms.
Messages you send us, meeting notes, and project context.
Marketing preferences (e.g., newsletter opt-in).
CVs, cover letters, and interview notes (for applicants).

Data we obtain or generate

Technical data (IP address, browser type, device information, referrer, coarse location) and site usage analytics.
CRM and activity data related to sales and service delivery.
Support/helpdesk records when you raise a ticket or use chat.

Special category data

We do not intentionally collect special category (sensitive) data via the website. Please avoid sending it unless requested and a secure channel is provided.

Why we use your data (lawful bases)

We process personal data for:

Responding to enquiries; providing proposals – steps before a contract or to perform a contract (Art. 6(1)(b)).
Delivering services; account management; support – to fulfil contracts (Art. 6(1)(b)).
Billing, tax, and compliance – to meet legal obligations (Art. 6(1)(c)).
Security, troubleshooting, and improvement – our legitimate interests (Art. 6(1)(f)).
Direct B2B marketing (to existing or prospective business contacts) – legitimate interests, with opt-out rights (Art. 6(1)(f)).
Email marketing to new subscribers – consent (Art. 6(1)(a)).
Recruitment – steps before entering into a contract or legitimate interests (Art. 6(1)(b)/(f)).

You can withdraw consent at any time.

Marketing

We send email marketing through Mailchimp. Consent is obtained through our forms, and all messages include unsubscribe links.

For existing B2B clients or prospects, we may send related marketing under the soft opt-in rule permitted by PECR. You can opt out at any time by clicking unsubscribe or contacting us.

Who we share data with

We use trusted service providers to host our website, manage CRM, send emails, provide analytics, chat, and helpdesk tools, and store files. These providers process data only under our instruction and are bound by appropriate data-protection agreements.

We also share limited data with professional advisers (legal, accounting, insurance) and where required by law or to protect rights and security.
We do not sell personal data.

When acting as a processor for clients, the client remains the controller and separate processing terms apply.

International transfers

Some service providers may process data outside the UK/EEA (e.g., in the United States). Where this occurs, we use recognised safeguards such as adequacy decisions, the UK Addendum to the EU Standard Contractual Clauses, or equivalent measures.

Data retention

We retain data only as long as necessary for each purpose:

Enquiries: 18 months from last contact (unless you become a client)
Client/project records: 7 years after contract end (for tax/audit)
Marketing data: until you unsubscribe or it becomes inactive
Support/helpdesk records: 3 years from closure
Recruitment: 12 months from decision (unless consent to keep longer)

Your rights

You have the right to:

Access, correct, or erase your personal data
Restrict or object to processing (including marketing)
Data portability (where applicable)
Withdraw consent at any time

You can also complain to the ICO at ico.org.uk, though we’d appreciate the opportunity to resolve concerns first.

Security

We maintain appropriate technical and organisational measures, including encryption in transit, access controls, least-privilege principles, monitoring, vendor due diligence, and contractual safeguards.

Only authorised personnel and contractors have access to personal data relevant to their roles.

Children

Our services are B2B and not directed at children. Please do not submit children’s data.

Third-party links

Our website may include links to third-party sites. Their privacy practices are separate and subject to their own policies.
